The First Team Meeting That Almost Failed

The First Team Meeting That Almost Failed

Janelle had just been promoted to team leader.
Her first official team meeting was supposed to set the tone, inspire confidence, and outline a clear vision for the future.

She spent hours preparing slides, mapping out processes, and creating a detailed agenda.
When the day arrived, she was determined to show everyone she was ready to lead.

But within the first fifteen minutes, things started unraveling:

❌ Team members were confused by her overly technical language, unsure of what she was asking for.
❌ She dominated the conversation, leaving no room for collaboration.
❌ When one teammate raised a concern, Janelle dismissed it quickly to “stay on track.”

By the end, the room felt tense and disconnected. Instead of feeling motivated, her team walked away frustrated and uncertain.

Janelle left the meeting devastated. “If this is how my leadership begins,” she thought, “how can I succeed?”

Wake-Up Call: Facing the Real Problem

Later that week, Janelle attended a leadership training session that included a reflection exercise.
As she replayed the meeting in her mind, she realized her biggest mistake: she had been so focused on proving herself that she forgot to truly lead.

The coach asked her, “Did you create a space for your team to feel heard, or just a platform for you to speak?”

That hit hard.
Janelle recognized that her fear of looking incompetent drove her to overcompensate. Instead of connecting with her team, she tried to control the narrative.

This moment of clarity became her wake-up call:
If she wanted to build trust and a strong foundation, she needed to shift from “I need to impress them” to “We need to grow together.”

The Shift: Turning Failure into a Foundation

Armed with strategies from her leadership training, Janelle planned her next steps carefully:

1. Start with Listening – Instead of diving into tasks, she began her next meeting by asking open-ended questions:
“What’s been working well for you lately?”
“What challenges are you facing right now?”
This shifted the focus from her to them.
2. Simplify the Message – Janelle traded technical jargon for clear, actionable communication, ensuring everyone understood the goals and next steps.
3. Acknowledge and Validate – When concerns were raised, she actively listened, acknowledged them, and worked collaboratively on solutions.
4. Empower the Team – She delegated responsibilities, showing trust in her team’s abilities rather than trying to do it all herself.

By the third team meeting, the change was undeniable:

✅ Team members were more engaged, sharing ideas freely.
✅ Productivity increased as everyone understood their roles clearly.
✅ A sense of mutual respect and trust began to take root.

One team member even pulled Janelle aside and said, “I was worried at first, but you’ve really brought us together. It feels like we’re finally a team.”

What began as a near disaster became a defining moment in Janelle’s leadership journey.
She learned that leadership isn’t about being perfect—it’s about creating an environment where people feel valued and empowered.
